Role Purpose
As the Head of Estates & Facilities, you will set the strategic direction and priorities for the department, which includes facilities management, property and property maintenance and Health, Safety and Environment across our head office, warehouse, and stores.
Responsibility will include new store openings and refurbishments as well all on-going facilities and maintenance management across our growing estate.
As the lead of the department you will be responsible for managing, motivating and inspiring the team. This role reports into the Retail and Operations Director.

Accountabilities and Responsibilities
  • Responsible for ensuring that all our sites are well maintained so that colleagues can work effectively and safely
  • Conduct a full analysis of all Facilities processes and policies currently in use and advise on best practice to improve systems where appropriate
  • Develop and implement a sustainable Estate & Facilities strategy and business plan to assist with the company’s growth – working closely with the current facilities team
  • Accountability for the design and delivery of our Health, Safety and Environmental strategy – working closely with our Health, Safety and Environmental Manager
  • Set KPIs and ensure these are delivered in line with the business plan
  • Set and manage the facilities and property budget (including CAPEX) and work closely with external contractors to ensure we receive a high level of service and value for money
  • Project Management of new store openings 
  • Work with the leadership team on space planning to ensure growth is well planned for
  • Ensure plans are in place to maintain business continuity across the estate 
  • Manage different stakeholders across the business to achieve the objectives of the department
  • Oversee and work with the relevant teams to develop a preventive maintenance programme of activity
  • Lead, manage and develop the team to ensure they are clear of what is expected of them and they have the necessary support and coaching 
  • Develop team capability, enhancing skills and performance  
  • Provide strategic direction for initiatives. Lead and motivate the team to ensure projects are delivered on time, on budget and to maximum impact
  • Accountable for managing the external contractors that maintain across all of our estate
  • Lead the contractor selection process including robust knowledge of tender management
  • Continually review our ways of working to identify where improvements can be made
  • Develop our Group property strategy
  • Working with external third parties to determine the data required to provide appropriate market insight
  • Using own knowledge and Geodemographic analysis, select the best new store locations
  • In conjunction with Director team and external stakeholders, lead the legal support, negotiating the best contractual lease terms
  • Ensure a programme of lease expiry and rent reviews is kept, maintained and reviewed in advance
Key Performance Indicators
  • Capital expenditure is spent on time, in budget and is required
  • New Store Openings are on time and in budget and met legal requirements
  • All Maintenance is managed and executed as planned
  • All necessary testing (i.e. machinery, PAT testing, equipment) is conducted across the Estate 
Knowledge, Skills and Experience
  • Extensive experience of delivering complex estates projects on time, to quality standards and providing value for money
  • A chartered Surveying (or equivalent) qualification would be advantageous  
  • A project management qualification
  •  A self starter, motivated to deliver the strategy for your department
  • Experience of negotiating leases, memoranda of occupation and other accommodation contracts
  • Excellent communication skills 
  •  Experience of communicating and influencing at various levels 
  • Demonstrable experience of Facilities Management with a relevant Facilities or Property Management qualification
  • Proven ability to manage and motivate a team
  • Good understanding of Health & Safety regulations 
  • Strong commercial and finance acumen, paired with significant experience in the management of substantial contracts 
  • Capability to manage an asset register and use this to oversee an effective planned maintenance schedule
  • Good report writing and analysis skills
